How to Choose Window Cleaning Software for a Solo Business

Choose around the jobs you run: the first estimate, the next repeat visit and the invoice after the work. Use this checklist to test a shortlist before committing to a subscription.

What is the best window cleaning software for a solo operator?

There is no single winner established by this guide. Start with your work mix: one-off residential jobs, recurring storefronts or both. Write down the features you need now and separate them from features you would only use with a crew. Choose a plan only after the required tasks work in a trial and you have confirmed the full cost.

For example, being able to schedule a repeat visit does not establish that a product can optimize a day's driving route. If route optimization is essential, make that a separate pass-or-fail test.

Six workflows to test before you buy

1. Estimates before appointments

Try an exterior-only clean with a known scope, then a property that needs an assessment. Check whether customers can request a quote without accepting an unconfirmed price. Record window counts, stories, screens, access restrictions and exclusions. Do not assume a booking form measures the property or calculates a suitable market rate.

2. Repeat visits and weather changes

Create a repeat storefront visit using the frequency you actually sell. Move one appointment and check what happens to later visits and customer notifications. Repeat scheduling, route ordering and automatic route optimization are different capabilities; ask the vendor to demonstrate each one you need. Test a weather-related change rather than relying on a calendar screenshot.

3. Customer and property history

Open a returning customer's record and find the previous scope, price, access instructions and photos. If a customer has several properties, test how addresses and appointments are distinguished. Keep sensitive access information limited to the people who need it, and ask how records can be exported when changing software.

4. Invoices and getting paid

Prepare an invoice that separates the services you offer, such as exterior glass, interior glass and screens. Check tax treatment, payment status and how a correction is handled. Ask which payment providers and payment methods are supported in your country. A subscription price does not tell you the processor fees, settlement timing or dispute terms.

5. Before-and-after completion reports

Attach photos of the same area before and after the work, add notes and inspect the customer-facing report. Check how it is sent, what customer details it exposes and whether a report can be corrected. Photo labels and an entered visit date are not independent proof of capture time, completed work or customer acceptance.

6. The complete workflow on your phone

Use the phone and browser you take to jobs. Find an appointment, review access notes, add a photo, prepare an invoice and inspect the customer view. Ask which tasks work without connectivity and test them in a safe trial; a mobile-friendly page does not by itself establish offline support.

Compare the total cost, not just the headline price

Record the currency, billing interval, included users and usage limits for the exact plan you are considering. Compare monthly billing with the full annual commitment, not just the displayed monthly equivalent.

  • Subscription charge and applicable taxes.
  • Required add-ons for recurring visits, messages, payments or reports.
  • Extra-user charges if someone helps with administration.
  • Payment processing, messaging usage and other transaction-based charges.
  • Data migration, export access, cancellation and renewal terms.

Use the vendor's current pricing page and written terms. This guide does not give competitor prices or assume that every feature is included in a free plan.

Where Fieldbookly fits

Fieldbookly's window cleaning software brings online bookings, quotes, appointments and invoices together. List residential and storefront services with your own descriptions, rates and durations, and use quote requests when a property needs an assessment.

The Free plan includes an online booking page, calendar view, up to 20 bookings and 10 quotes and invoices per month. Recurring appointments, custom booking questions, reminders and online payments require an appropriate paid plan. Shared scheduling and technician assignment require Team. Check current prices, billing options and plan limits before subscribing; payment processor fees and settlement terms apply.

After a job is completed, Fieldbookly can send customers a report with before-and-after photos. Confirm the plan and delivery workflow for your business before purchasing. This guide does not claim automatic weather rescheduling or route optimization.

Use one sample job to evaluate each option

Use fictional customer details during evaluation. Run the same job through every shortlisted product so you compare the same tasks:

  1. Request an estimate for exterior windows and screens, with access notes.
  2. Prepare a quote using your own scope and price.
  3. Schedule the visit, then change its date and check the customer notification.
  4. Add a before-and-after photo pair and a note about outstanding work.
  5. Prepare the invoice and inspect the report the customer would receive.
  6. Find the record again and test a return visit where the plan supports it.

Mark each requirement as demonstrated, unavailable or still unverified. Avoid sending real customer messages or taking live payments during a trial unless you deliberately intend to do so.

Prepare an estimate or report before choosing an app

Use the free estimate generator for an itemized document, the contractor job-profit calculator to compare margin and markup using your costs, or the before-and-after photo report maker for a downloadable report.

These standalone tools do not transfer their entries into your Fieldbookly account. The photo report maker processes selected images in your browser; download the PDF before leaving or refreshing.
